This guide is for small charities, CICs and community groups where admin falls to a few staff or volunteers. If you answer the same emails every week or copy details from one place to another, some of that work can run itself.
For each of these 10 automations, you'll get what it saves, the tool, short setup steps and a cost note. Most use Google Workspace or Microsoft 365 features you may already have, so you can pick two or three and set them up in an afternoon. At the end, there's a table to help you choose where to start and a short data protection checklist.
1. Email templates for questions you answer every week
What it saves: retyping the same replies, such as how to volunteer, how to donate or how to find your venue.
Tool: Gmail templates or Outlook Mail Templates.
In Gmail
- Click Settings, then See all settings.
- Click Advanced. Next to Templates, click Enable, then Save changes.
- Click Compose and write your reply.
- Click More options, then Templates, then Save draft as template, then Save as new template.
To use it, click More options, then Templates, and choose it under Insert template.
In Outlook
In new Outlook for Windows or Outlook on the web:
- Select New, then Mail, and write the email.
- On the Message ribbon, choose Mail template, then Save email as template.
- Name it and select Save.
Cost: Gmail templates are included, but they only work in Gmail on a computer, not in the mobile apps. Microsoft says Mail Templates need a qualifying Microsoft 365 subscription.
2. Filters that sort your inbox for you
What it saves: digging through a cluttered inbox, by sending invoices or volunteer enquiries straight to their own label or folder.
Tool: Gmail filters or Outlook rules.
In Gmail
- In the search box at the top, click Show search options.
- Enter what to match, such as a sender or words in the subject.
- Click Create filter.
- Choose what happens, for example apply a label, star it or archive it.
- Click Create filter again.
In Outlook on the web
- Select Settings, then Mail, then Rules.
- Select Add new rule and give it a name.
- Choose a condition and an action. Add exceptions if you need them.
- Select Save.
Rules in Outlook on the web only apply to messages that arrive after you create them.
Cost: included with Gmail and Outlook.
3. An auto-reply for your shared inbox
What it saves: people wondering whether their message arrived. A good auto-reply sets expectations and signposts urgent help.
Tool: Google Groups, an Outlook shared mailbox or Gmail's vacation responder.
Google Groups (Google Workspace)
You need to be the group's owner or manager.
- Sign in to Google Groups and click the group's name.
- On the left, click Group settings, then Email options.
- Under Auto replies, tick the replies you want and type your message. You can write different replies for members and non-members.
- Click Save changes.
Outlook shared mailbox
You need Full Access permission from your IT admin. In new Outlook, add the shared mailbox as an account. You can then choose it in the Automatic replies settings, turn replies on and write your message.
Gmail (personal account)
Go to Settings, See all settings, then General, and turn on Vacation responder. Google says people usually get the reply the first time they message you, and again if they write after four days.
Example auto-reply: edit to fit your group
Thanks for getting in touch with [group name]. We're a small team of [staff and volunteers], so we aim to reply within [3 working days].
This inbox isn't monitored out of hours. If you need urgent help, please contact [the right local or national service].
Cost: included. Group auto-replies need a work or school account, and your administrator must have Groups turned on.
4. A booking page instead of back-and-forth emails
What it saves: email ping-pong when arranging calls, volunteer inductions or advice sessions.
Tool: Google Calendar appointment schedules or Microsoft Bookings.
Google Calendar
- Open Google Calendar on a computer. You can't do this in the mobile apps.
- Click Create, then Appointment schedule.
- Set the appointment length and your availability, then click Next.
- Set up your booking page and click Save, then share the link.
Microsoft Bookings
- Go to book.ms and sign in, or add the Bookings app in Outlook or Teams.
- In the Personal booking page section, select Create meeting type. Two default types, 15 and 30 minutes, are already there.
- Add a name, description, online or in-person option, length and availability.
- Select Save, then share your booking link.
Cost: Google says a personal Google Account or Business Starter gets a single booking page. Extras, such as email reminders, need an eligible paid plan. Microsoft Bookings is included in Microsoft 365 Business Basic, Standard and Premium, among others.
5. Form responses that fill a spreadsheet and alert you
What it saves: copying sign-ups from emails into a list, and missing new ones.
Tool: Google Forms or Microsoft Forms.
Google Forms
- Open your form and click Responses.
- Click Link to Sheets to send answers to a spreadsheet.
- Click More, then Get email notifications for new responses.

Microsoft Forms
- Open your form and select More form settings (the three dots).
- Under Response receipts, tick Get email notification of each response.
Cost: included with Google and Microsoft accounts.
6. Recurring reminders for compliance dates
What it saves: last-minute panics over deadlines that live in one person's head.
Tool: Google Calendar or Outlook calendar.
Dates worth a reminder include:
- Charity annual return. Charities registered in England and Wales must submit it within 10 months of their financial year end. Elsewhere in the UK, check your regulator's deadlines.
- Company filings. Every company, including CICs, must file a confirmation statement at least once a year. CICs also file an annual CIC report (form CIC34) with their accounts.
- DBS rechecks. DBS checks have no official expiry date, so set your own schedule. Update Service subscriptions last one year, so add renewal dates too.
- Your own renewals, such as insurance and policy reviews.
In Google Calendar
- Click Create and give the event a clear title, such as "Annual return due in 4 weeks".
- Click the drop-down next to Does not repeat and choose how often it repeats.
- Under notifications, click Add notification, choose email and set how far ahead.
- Click Save.
In Outlook on the web, create an event, select Repeat and Remind me, then Save.
Cost: included.
7. A welcome email for new newsletter subscribers
What it saves: sending thank-you emails by hand.
Tool: MailerLite (or another email marketing tool).
- Go to the Automation page and click New automation.
- Choose the Simple welcome email template.
- Select the Joins group(s) trigger and choose the group new subscribers join.
- Click the Email step, add a subject line, then click Design email.
- Save the email and click Activate.

Cost: MailerLite's pricing page lists a Free plan with up to 250 subscribers, 2,500 emails a month, 3 automations and 2 user seats, plus 30% off paid plans for nonprofits. Mailchimp's Free plan doesn't include marketing automation flows, according to its pricing page.
8. E-signatures for agreements and forms
What it saves: printing, scanning and chasing signatures.
Tool: Google Docs eSignature, or a dedicated e-signature service.
In Google Docs
- Open the document and select Tools, then eSignature.
- Under Insert fields for, choose a signer and drag in fields such as signature and date.
- Click Request signature, add a title and each signer's email.
- Click Request signature again to send.
You can include up to 10 signers.
Cost: Google's pricing page lists eSignature in Business Standard and Plus, but not Business Starter. Dropbox Sign has a limited free plan, so check current pricing.
For England and Wales, the Law Commission concluded that an electronic signature can be used to execute a document, provided the signer intends to authenticate it and any formalities are met. A deed still needs a witness who is physically present, so take advice for deeds.
9. Connect two apps with a no-code automation
What it saves: copying data between tools, such as emailing your team about each new form response.
Tool: Microsoft Power Automate, Zapier or Make.
In Power Automate
- In Power Automate, select Create, then Automated flow, and name your flow.
- Under Choose your flow's trigger, search for "forms" and choose When a new response is submitted. Pick your form.
- Add the Get response details action.
- Add Send an email (V2) and fill in who it goes to and what it says.
- Save the flow, then test it with a dummy response.
Zapier works in a similar way: choose a trigger and an action, test it, then publish it.
Cost: Microsoft says basic Power Automate is included at no cost for work or school accounts, using standard connectors. Zapier's pricing page lists a Free plan with 100 tasks a month and two-step Zaps. Make's lists 1,000 credits a month and 2 active scenarios. Check current pricing before relying on a free tier.
Give each automation a named owner who checks it regularly.
10. AI meeting notes, with care
What it saves: writing up notes and action points after meetings.
Tool: Google Meet "Take notes for me", or Copilot in Microsoft Teams.
In Google Meet
- Join the meeting on a computer.
- Click Take notes for me at the top right.
- Check the settings, then click Start taking notes.
Meet tells everyone that notes are being taken and saves them in the organiser's Google Drive. Google warns that notes can be incomplete or inaccurate, so check them before sharing.
Cost: this needs an eligible Google Workspace edition or Google AI plan. In Teams, intelligent recap comes with Teams Premium or a Microsoft Copilot licence. Check current pricing.

Data protection: when automations move personal data
An automation does what you'd do by hand, but without anyone checking each time. If it moves names, emails or case details between tools, UK GDPR still applies. Before you switch one on:
- Map it. Write down what personal data moves, where to and who can see it.
- Move only what you need. The ICO says personal data should be adequate, relevant and limited to what is necessary.
- Check the provider. The ICO says you need a written contract whenever a processor handles personal data for you, so look for the vendor's data processing terms.
- Check where the data goes. Sending personal data outside the UK can be a restricted transfer, and the organisation that starts it is responsible for following the rules.
- Tell people. The ICO says you must tell people about new uses of their data before you start, so update your privacy notice.
- Keep it secure. Turn on 2-Step Verification for accounts that run automations, and limit who can edit them.
- Take extra care with special category data, such as health, ethnicity or religion. It needs an extra legal condition.
